Question checklist

Resolve the gaps before the decision.

Use the worksheet to identify questions, then obtain the answers in writing. A complete-looking screen is not proof that a quotation is correct.

1. Are the equipment and quantities aligned?

Compare actual configuration, condition, inclusions and quantity. Record differences instead of silently treating them as equivalent.

2. Do the amounts use one currency and basis?

Copy the currency from the offer. The worksheet supports USD, NGN, EUR and GBP, without exchange conversion. Ask for full-quantity line totals if the source uses unit prices or a mixed basis.

3. Where is every charge counted?

Check whether equipment, freight and insurance are separate, included, excluded, unknown or not applicable. Identify the containing separate amount for an included charge so it is not added twice.

4. What is the written delivery scope?

Confirm the term, exact named place and each party’s responsibilities. Ask separately about destination charges and inland delivery rather than inferring a full landed cost.

5. Is the offer still valid?

Ask for quotation date, validity, payment terms and any conditions that could change the amount. The worksheet does not monitor validity or update supplier prices.

6. Have the seller and evidence been checked?

Verify the counterparty, current equipment evidence and payment destination independently. Resolve contradictions or pressure to pay quickly before transferring funds.

No automatic best-offer result.

The tool performs bounded arithmetic and shows missing answers. Price, suitability, condition, risk and contractual responsibilities still need their own review.

A practical next step

Keep the clarification questions together.

Use written information, keep missing costs visible and prepare the questions you need answered.
